Overview
With hybrid work and flexible schedules becoming the norm, keeping your colleagues informed of your availability is more important than ever. By setting your Working Hours and Location in Google Calendar, you can automatically notify others of when you’re on the clock and whether you’re working from the office or home.
This helps prevent meeting invites during your off-hours and ensures team members know where to find you.
🛠️ How To Set Your Working Hours and Location
🕒 Step 1: Set Your Working Hours
When someone tries to schedule a meeting with you outside of these hours, Google Calendar will warn them that you are unavailable.
-
Open Google Calendar.
-
Click the Settings (gear icon) at the top right and select Settings.
-
On the left-hand sidebar, click Working hours & location.
-
Check the box labeled Enable working hours.
-
Select the days you work and set your start and end times for each day.
📍 Step 2: Set Your Working Location
This feature shows a small icon on your calendar to let colleagues know if you are working remotely, in the office, or at a specific campus.
-
In the same Working hours & location menu, ensure the Enable working location box is checked.
-
For each day of the week, click the location dropdown (it usually defaults to "Office" or "Home").
-
Choose your location or select Other to type in a specific site or campus name.
🔄 Step 3: Automatic Updates
Once enabled, your location will appear at the top of your calendar view. You can quickly change your location for a specific day without going back into settings:
Note: These settings are only visible to people who have permission to see your "Free/Busy" information. Most Maricopa Community College employees can see this by default when using the "Find a Time" feature in a meeting invite.
