🛠️ How To … ?
📅 Step 1: Create Your Appointment Schedule
-
Open Google Calendar.
-
Click the + Create button in the top left corner and select Appointment schedule.

-
Set your Appointment duration (e.g., 30 minutes).
-
Set your General availability:
⚙️ Step 2: Fine-Tune Your Settings
Before clicking next, look at these powerful options to protect your time:
-
Scheduling window: Decide how far in advance people can book (e.g., from 12 hours to 30 days out).
-
Buffer time: Check this box to add a "breather" between appointments (e.g., 15 minutes) so meetings don't run back-to-back.
-
Maximum bookings per day: Limit how many of these specific appointments you'll take in one day to avoid burnout.
🖼️ Step 3: Set Up Your Booking Page Details
Click Next to finalize the "look and feel" of your page:
-
Booking page photo and name: This shows people who they are meeting with.
-
Location and conferencing: Choose Google Meet video conferencing to automatically generate a link for every booking.
-
Booking form: Customize what information you collect. You can add "Custom items" like "Student ID Number" or "Reason for Meeting."
-
Booking confirmations and reminders: Enable email reminders to reduce no-shows.
🔗 Step 4: Share Your Link
Once you click Save, your booking page is live!
-
Click the Share button to get a short URL.
-
Add this link to your Gmail Signature or post it on your department’s website.
-
You can also embed the booking page directly into a website if you have editor access.
💡 Why Use Appointment Schedules?
-
Real-Time Sync: If you manually add a "Doctor's Appointment" to your calendar, Google will automatically hide that time slot on your booking page so you never get double-booked.
-
Professionalism: Provides a seamless, modern experience for students and external partners.
-
Reduced Admin: No more manual invites; Google handles the calendar events, the Meet links, and the reminders for you.
Tip: If you need to stop taking appointments temporarily, you don't have to delete the schedule. Just go to the "Scheduling window" and set it to "Start and end dates" to pause availability.
