Updating Tax Withholding Forms
Manual Process: From the beginning of the new year through mid-April, withholding tax forms will need to be updated manually by updating the new year's tax forms from the Payroll Forms webpage. There, you will find links to the latest Arizona A-4 and Federal W-4 forms, as well as forms for updating your Direct Deposit, Legal Name Changes, requesting copies of W-2 forms, Absence and Timesheet Adjustment forms, etc.
Forms can be submitted to your local HR office, which will then securely send your updated forms to the District Payroll Office, or sent via email to Payroll@domail.maricopa.edu.
The best practice when sending personal information via email is password-protecting your document(s) and sending the password in a separate follow-up email. To find instructions for both a PC and MAC on zipping and password-protecting your document(s), see the following links.
Electronic Process: Once the New Year's PeopleSoft HCM updates are completed (sometime around mid-April), withholding tax forms can be downloaded from HCM, and the Federal W-4 can be submitted electronically. Please read the HCM Update Tax Withholding Quick Reference Guide (QRG) carefully, as the form submission process differs for State forms from that for the Federal W-4 forms. You will need to use the Right-hand Menu options to update your Federal W-4 form.
If you are updating a State Withholding form other than from the state of Arizona, please download your current year's State Withholding form electronically and follow the Manual Process above for submitting the form.
