Adding and Removing Cohosts in Webex

What are Cohosts?

For meetings where hosts cannot attend, a cohost can start and facilitate the meeting in their place. Cohosts may also assist with meeting management functions. Depending on the hosts settings, cohosts may be selected by the host or it may be the first person into the Webex meeting space. 

 

What can a cohost do?

  • Start a meeting
  • Mute or unmute participants
  • Admit attendees from the lobby
  • Initiate a recording
  • Invite additional attendees
  • Manage breakout session
  • Lock/unlock the meeting

 

Add cohosts during the meeting:

  1. Open the Participants panel within the meeting
  2. Right click on the attendee you wish to make cohost
  3. Select Change Role -> Make Cohost from the popup menu

 

Add cohosts in Google Calendar invite:

  1. Open Google Calendar. 
  2. Select the calendar invite for the meeting where you wish to add a cohost.
  3. Click the Webex icon on the right panel.  Uploaded Image (Thumbnail)
  4. Ensure the guest you wish to make cohost is listed on the meeting invite. If not, edit the invite to add the participant to the meeting. 
  5. On the right Webex panel, select Let me choose cohosts for this meeting. Select the checkboxes for any eligible attendees to set them as a cohost. Uploaded Image (Thumbnail)

 

Add cohosts from the web scheduler:

  1. Log in to https://maricopa.webex.com using meid@maricopa.edu for the email address
  2. Select the meeting from the calendar where you would like to add the cohost. Alternatively, if this is for a Webinar, select Webinars from the menu on the left and select the webinar where you would like to add the cohost
  3. Under Who is Invited (Webex Meetings) or Panelists (Webex Webinars), click the three dots next to the persons name
  4. Select Assign cohost

 

Gotchas and Pitfalls

  • You can only edit the meeting based on how it was originally scheduled. For example, a meeting created via Google Calendar, can only be edited from Google Calendar. Trying to modify cohosts from the web will show the participants but they cannot be edited. 
  • Cohosts must have a host account under the email address from which they were invited to the meeting. If they do not have a host account, they will not be eligible to add as a cohost ahead of time.
  • Adding distribution lists as a cohost is not supported.
